1.   Introduction

 

1.1        Purpose

Project Monitoring Information System For Odisha Industrial Infrastructure Development Corporation (PMIS_IDCO) is a simple-to-use IT systems put in place for ongoing infrastructure projects of different Departments / Agencies.

The need for this Information System is on the observation that infrastructure projects do get completed within the stipulated time period and within the approved cost estimates. While there may be various reasons for time and cost over-runs in project implementation, more effective monitoring by the Administrative Departments would possibly address some of these issues.

1.2       Definitions, Acronyms, and Abbreviations

 

The below given table contains the description of all the definitions and abbreviations used.

1.3       Getting Started

 

To start using the application, enter the url in the browser to view the following login screen:

In the displayed login screen, enter the User Name and Password of the authorized user in the respective textbox and click the Submit button.

Here there are two types of users- Admin and different Department user.

2.   Admin User

 

For the Admin login, enter the credentials of the same in the respective space to display the following dashboard-

Here in the above displayed dashboard, the user can view the department names and the details of the projects handled. The total number of projects managed by each department is displayed along with details of planning, estimate, area allotted, etc. clearly highlighted.

The total project cost for the ongoing ones is displayed at the top head of the displayed screen.

To view the details of the total projects managed by the department, single click on the Menu to expand the same as shown below-

Expand the Reports link and click the Reports primary link wherein the user is redirected to the following page-

The list of Reports is displayed with respect to the projects managed by the admin user. On selecting the respective link the report for the same can be viewed.

3.   Department User

 

Each department has its own authorized user who updates the data and manages all the records efficiently.

3.1       Civil User

 

To add and view the details of different projects managed by the department, login through the credentials of the department user in the login screen to display the following dashboard-

The Dashboard gives the details of the total no. of projects managed by the respective department along with the figures of the total works, awards received, etc.

To move to the home page for adding record, click the Home option as highlighted above which redirects the user to the following page-

In the home page displayed, the department project details can be discussed under two links- Manage Projects and Reports.

 

3.1.1  Manage Projects

 

The Manage Projects can be discussed under the following primary links-

·         Master

·         Project Details

·         Award Stage

·         Project Progress

·         Billing Details

·         Alert Mech. Configure

 

3.1.1.1       Master

 

The department user has to create the master for various parties who work under the respective department. For doing so, click the Master primary link in the left menu wherein the Add master screen is the default page as shown below-

·         Here the user an upload the pdf file of the document in the space provided. Click the Choose File button to search for the respective file and Upload.

·         Enter the details of the Vendor in the respective textboxes provided including mail id, contact number, location, PAN, etc.

·         Click the Add button to save the record added.

To view the list of records added, click the View button-

The list of parties is displayed with their address, mailing details, license, etc.

To filter the list, enter the Party Name in the space provided and click the Show button.

For any modifications, click the Edit () button for the respective Party Code-

Enter changes for the respective fields and click the Update button to save the changes made.

 

3.1.1.2       Project Details

 

For enlisting the details of the projects managed by each department, click the Project details primary link under Manage Projects-

3.1.1.2.1            Project Details

 

On selecting the Project Details primary link, the View project details screen is the default page for the department user. To add new details for the project, click the Add option-

In the Details section-

·         By default, the Name of CGM is already chosen.

·         Choose the radio button either for Project or Work. Here project is selected.

·         Select the Project Type from the drop down list.

·         Enter the name of the Department carrying out the project.

·         Enter the Project Code for the project taken up along with the Client Code-Name in the respective textbox provided.

·         Provide the Project Name and Scheme which is to be taken up for processing.

·         Select the Date of Handing Over of Site for the project from the calendar control provided.

·         Select the name of the District where the respective project is to be implemented along with the Division from the list provided.

·         Enter the Remarks for the project details entered.

·         Provide a Personal Note for the details entered.

·         Click the Submit button to save the project details entered. 

Click the View option to display the list of project details as added by the user-

The user can view a list project names along with their code, type, scheme and estimated cost.

For any modifications in the project details, click the Edit () option for the respective project name.

Enter changes for the respective fields and click the Update button to save the data modified.

3.1.1.2.2            Project Closure

To find the details of the project closure after its successful implementation and completion, click the Project Closure button followed by the Add tab-

 

·         Select the Name of the CGM from the drop down list for which the project closure details are to be added. By default the CGM name remains default here.

·         Enter the Project/Work Name in the space provided.

·         Select the progress Status of the Project in the drop down list.

·         Select the Ref. Date of the project closure from the calendar control provided.

·         Provide the detailed Remarks of the project closure in the text area.

·         Click the Submit button to save the project closure details.

After adding the project closure details, click the View button to display the list already added-

The list of project names along with the project code, status and completion date is displayed.

To filter the list, select the Department Name from the drop down list and click the Show button.

Click the Print option, to generate a detailed printout of the project closure for different projects.

3.1.1.2.3            Project Transfer

For transferring the projects from one department to another, click the Project Transfer button followed by the Add tab-

Select the name of the Department from which the project is to be transferred.

On selecting the name of the department, the list of the projects managed by the dept. is displayed as shown below-

The name of the department along with the project type and name are displayed.

·         Select the checkbox for the respective project name which is to be transferred to a different department.

·         Select the Department name from the drop down list to which the selected projected is to be transferred.

·         Select the Ref. of Transfer from the calendar control.

·         Enter the relevant Remarks for transferring the project.

·         Click the Transfer button to finish the project transferring process.

  After transferring the projects, click the View tab to view the list-

Click the Print option to generate the printout of the project names along with department names within which it is transferred.

3.1.1.3       Award Stage

 

The various stages of project starting from project initiation to implementation are considered to be the various award stages. These award stages can be discussed under- Tender, Selection, Award and Revised Estimate.

3.1.1.3.1            Tender

To add for the details of tender for various projects, including the last date of availability of tender paper, uploading the tender in the website, etc. click the Tender button in the Award Stage screen followed by the Add tab-

The list of Work code along with their work name is displayed.

·         Select the TCN Status for the work code from the drop down list.

·         Provide the Ref. of TCN no. for the respective work code selecting the same from the calendar control provided.

·         Select the Last date of availability of Tender Paper from the calendar control along with the Last Date of uploading Tender.

·         Provide the Remarks for uploading tender in the website.

·         Select the checkbox against the respective work order code which is to be uploaded and click the Submit button.

To view the list and details of the work order submitted, click the View tab-

The work order details are displayed along with the date of tender submission for each.

To filter the list, select the Department Name and Division from the respective drop down list and click the Show button.

To modify any of the tender details, click the Edit () option for the respective work order-

The user is redirected to the add tender edit screen.

Enter changes in the respective fields and click the Update button to save the changes made.

3.1.1.3.2            Selection

To add for the details of work order qualification and the status of evaluation, click the Selection button followed by the Add tab to display the following work name list-

On doing so, the page displays the list of work names along with their work code.

To search for a project details, enter the name of the respective project and click the Show button.

Enter the No. of firms pre-qualified for a work name in the space provided.

Select the Status of Evaluation for the work code from the drop down list provided.

Click the Add button to add for any issues in the work name.  

·         Select the Status along with other details like EOI Published, RFP/NIT Issued, Evaluation, etc. from the respective fields provided.

·         Click the Add option to upload the details of the issues if any related to the respective project.

·         Enter Remarks for selecting the data for selection.

·         Select the checkbox for the project names whose details are to be submitted and click the Submit button.

Now click the View option to display for the data selected for the projects-

The list of work names is displayed along with their code, evaluation status and no. of firms pre-qualified.

To filter the list, select the name of the Department and Division from the respective drop down lists providing the Project name in the space provided and click the Show button.

Click the Print option to generate printout of the selection list.

For any modifications, click the Edit () option for the respective work code-

The user is redirected to the selection edit page. Enter changes for the respective fields and click the Update button to save the changes made.  

3.1.1.3.3            Award

To add the details of the stage where the project is at the present time, click the Award tab followed by the Add button-

·         The details of the work code along with the Execute name and agreement are displayed.

·         Select the Date of Completion from the calendar control provided.

·         Select the Status of the award from the drop down list.

·         Select other details of the stage from the respective fields and enter the Remarks for the data selected.

·         Select the checkbox for the record which needs to be added.

·         Click the Submit button to save the award stage details.

Click the View option to display the list of project names with their award stage details-

The screen displays the list of project names along with their status, agreement amount, completion date, etc.

For any modifications in the stage details, click the Edit option for the respective project name which redirects the user to the award stage edit page wherein the necessary changes can be made in the respective fields and Update the same.

3.1.1.3.4            Revised Estimate

To revise the estimated cost of different work orders and set the status for each, click the Revised Estimate tab in the Award Stage screen followed by the Add button-

·         To filter the work order list, enter the name of the project in the space provided and click the Show button.

·         Select the Status of EOT in what stage it is from the drop down list provided and also the Ref. of EOT from the calendar control.

·         Select the date from the calendar control upto which the EOT is valid from the EOT Up To calendar control.

·         Select the Status of the Revised Estimate of the work order from the drop down list.

·         To upload a relevant copy of the document supporting the revised cost, click the Choose File button.

·         Select the checkbox for the work order number which has to be submitted after revision and click the Submit button.

Click the View option to display the list of the work orders revised-

 

The list of work orders is displayed along with the status and figure of the estimated cost.

To filter the list, select the name of the department and project in the respective fields and click the Show button.

Click the Print option to generate printout of the revised estimated cost.

For any modifications, click the Edit option for the respective work order-

The user is redirected to the Revised Estimate edit page wherein enter changes for the respective fields and click the Update button to save the changes made.

3.1.1.4       Project Progress

 

The working progress of the projects needs to be tracked at each stage in order to mark the development of the project and estimate whether the same can be completed within the planned time period.

The project progress can be discussed under the following section- Financial Progress.

 

3.1.1.4.1            Financial Progress

To get the details of the financial progress of the projects, i.e. the total annual expenditure against the total estimated budget, click the Financial Progress tab followed by the Add button-

The project list is displayed for the current financial year.

To filter the list, select the Year, Month entering the project name in the respective space provided and click the Show button.

Click the Choose File option to search for the relevant document from the system and Upload the same.

Enter the figure for the Annual Budget/Target for the current financial year for the respective project name.

The Expenditure details upto previous financial year is auto generated along with the expenditure upto last month of current financial year.

Provide details of the Expenditure during the current month in the textbox provided for the respective project.

The Cumulative expenditure in current financial year is calculated automatically.

Enter details of the Physical Progress Status and Remarks for the same in the respective text areas provided.

Click the Add link to include the details of the issues if any faced during the launch of the project-

In the issues pop-up screen displayed,

·         Enter the details of the Issue Subject in the textbox provided for the respective project.

·         Provide the detailed Description of the issue.

·         Text the details of Intervention of the authority if any.

·         Select the Expected date of Resolving Issue from the calendar control.

·         Click the Submit button to save the issue details as entered.

Select the checkbox for the respective project name whose financial progress details are to be submitted and click the Save button.

To display and view the financial progress details for the year, click the View tab-

 

The above displayed page gives the details of the estimated as well as expenditure for the current as well as for the coming year for different projects managed by the department.

For any modifications in the planned and expenditure figure, click the Edit () option for the respective project name wherein enter changes for the respective fields and click the Update button to save the changes made for the project.

3.1.1.5       Billing Details

 

Each project requires some fund for its initiation and functioning. This fund comes from various sources financed by different active organizations. The Billing Details can be discussed under the following two sections- Fund Received and UC Details.

3.1.1.5.1            Fund Received

To note the details of the funds received for various projects including the cheque no. and amount, click the Billing Details primary link in the left menu followed by the Add option in the Fund Received screen-

·         Enter the name of the Work in the textbox provided for which fund is to be received.

·         Enter the Letter No. wherein the billing figure is mentioned along with that of the Letter Date.

·         Enter the Cheque No. for the billed amount selecting the Cheque Date.

·         Provide the MR No. of the cheque selecting the MR Date.

·         Provide the Cheque Amount billed for the project.

·         Click the Choose File option to select and Upload Document.

·         Enter Remarks for the billing amount for the respective project.

·         Click the Submit button to save the billing details.

To view the details of the billing amount for various projects, click the View option-

The cheque and letter details for respective projects are displayed along with the uploaded documents.

For any modifications in the fund details for the projects, click the Edit () option for the respective record-

The user is redirected to the fund received edit page wherein the necessary changes can be entered in the respective fields and click the Update button to save the changes made.

3.1.1.5.2            UC Details

For adding the UC details for the amount financed for various projects, click the UC Details tab followed by the Add option-

·         Enter the Work Name for which UC details are to be added in the textbox provided.

·         Enter the Letter No. wherein the details of the UC are mentioned along with selecting that of the Letter Date.

·         Provide the UC Amount billed for the project.

·         Click the Choose File option to select and Upload Document.

·         Enter Remarks for the billing amount for the respective project.

·         Click the Submit button to save the UC details.

Click the View option to display and view the list of UC details for various projects followed by selecting the Project Name from the drop down list and click the Show button-

For any modifications in the UC details for the projects, click the Edit () option for the respective record-

 

Enter changes for the respective fields and click the Update button to save the changes made.

3.1.2  Reports

 

The detailed report of all the activities comprising of project initiation, monitoring, billing, etc. can be summed up under Reports section.

The reports can be discussed under the following primary links-

·         Dashboard

3.1.2.1       Reports

 

Click the Reports primary link to view the detailed reports for various projects under the following section-

ü  View Reports

3.1.2.1.1            View Reports

Here in this section, the user can view the detailed report of various activities done for different projects. The View Projects can be discussed under the following links-

3.1.2.1.1.1        Pending Issue Details

To generate the MIS reports for different projects whose issues are still pending with the department, click the Pending Issue Details link-

Select the name of the Department from the drop down list and click the Show button.

The issue detail for the respective department gets populated with respect to different projects.

3.1.2.1.1.2        MSME Project Details

To generate the MSME reports for different projects carried out by various departments at different locations, click the MSME project Details link in the Reports screen-

Click the Print option to generate the printout of the displayed MSME project details.

For exporting the displayed report to excel sheet, click the Export To Excel button.

3.1.2.1.1.3        MSME Unit Status

For generating the unit status of the MSME, click the MSME Unit Status link in the Reports screen-

The details of the progress of the projects are displayed located at different locations with the total allotted area.

To generate the printout of the project progress with over budget, choose the Print option.

3.1.2.1.1.4        Work Progress Report

To generate the MIS reports to display the details of the Work Progress for different projects, click the Work Progress Report link-

To filter the list, select the name of the Department, Client Department, Division and project Name from the respective drop down list and click the Show button.

By default the work progress for all departments are displayed.

Click the Print option, to generate the printout for the details displayed along with the agreement value, fund received and date of commencement.

3.1.2.1.1.5        Client Works

To generate the detailed report of the Client Works along with the date of commencement, figure of the funds received; click the Client Works link in the reports screen-

To generate the printout of the report, click the Print option in the Client Work Report screen.

3.1.2.2       Dashboard

 

To view the details of the projects managed by the department, click the Dashboard primary link in the left menu-

 

 

3.2       Legal User

 

To view for the details of legal issues managed by the legal officer for various projects, login with the credentials of the Legal user in the login screen to display the following dashboard-

The dashboard displays the details of total no. of cases pertaining to different nature of projects along with that of disposed cases and balanced cases under trail.

Click the Print option to generate printout of the dashboard displayed. 

To add for the details of legal issues wrt to various projects managed by different departments, click the Menu option followed by the Manage Projects global link in the left menu-

3.2.1  Manage Projects

 

The Manage Projects can be discussed under the following primary links-

·         Legal Issues

 

3.2.1.1       Legal Issues

 

To add for the details of legal issues for different projects along with that of the advocate who handles the respective case, click the Legal Issues primary link in the left menu followed by the Add button-

·         Provide the heading for the case in the Case Subject Head textbox provided.

·         Enlist the details of case Subject Matter in the text area provided.

·         Select the Nature of the respective case from the drop down list along with Filling Date for the case from the calendar control provided.

·         Enter the Case No. in the space provided.

·         Enter details of Linked Case (if any) with the respective case.

·         Provide the Advocate Name dealing the case.

·         Select the name of the Wing from the drop down list with which the advocate is associated along with selecting the Division name.

·         Choose the Projects name from the list with which issues are related along with the name of the Parties.

·         In the PWC column-

o   Select the Authority name from the drop down list wrt to the issue.

o   Enter the Letter No. that is already sent in the space provided.

o   Select the Date of Sent of the respective letter from the calendar control.

o   Enter the Letter No. received by the authority along with selecting the Date of Receive.

o   Click the Add button to include additional information.

·         Select the Status of PWC submission to the Advocate from the drop down list i.e. either Submitted or Not Submitted.

·         Enter the Reference of Submission of the letter selecting the Date of submission from the calendar control.

·         Click the Choose File option to search and upload the Consolidated PWC file.

·         Select the Present position of the case from the  drop down list as per the current scenario.

·         Select either Yes or No to select for Counter Filed.

·         Select the Last Hearing Date and Next Hearing Date from the respective calendar control provided.

·         Click the Submit button to save the legal case details.

After adding the case issue details, click the View option to display the list of issues added-

The subject head of the issues are displayed along with the Case no., party names and status for the same.

To filter the list, select the Nature of the cases from the drop down list and click the Show button.

To modify any of the records, click the Edit () option for the respective case no.-

The user is redirected to the legal issues edit screen wherein enter changes for the respective fields and click the Update button to save the changes made.

3.2.2  Reports

 

To get the detailed report of various legal activities with respect to various projects, click the Reports global link in the left menu.

Reports can be discussed under the following two primary links-

·         Reports

·         Dashboard

3.2.2.1       Reports

 

Click the Reports primary link to view the detailed reports for various projects under the following section-

ü  View Reports

3.2.2.1.1            View Reports

Here in this section, the user can view the detailed report of legal activities associated with different projects. The View Projects can be discussed under the following links-

3.2.2.1.1.1        Yearly Financial Progress Report

To generate the Financial progress report of various projects on a yearly basis, click the Yearly Financial Progress Report link in the View Reports section-

 

3.2.2.1.1.2        Monthly Financial Progress Report

To generate the Financial progress report of various projects on a monthly basis, click the Monthly Financial Progress Report link in the View Reports section-

 

 

3.2.2.1.1.3        Target vs Achievement Report

To generate a detailed report of the targets set and the targets achieved by a department, click the Target vs Achievement Report link in the View Reports page to display the following details-

Click the Print option to generate a printout of the report.

3.2.2.1.1.4        Pending Issue Details

To generate a detailed report of the issues of various projects that are still pending with the department and yet to be resolved, click the Pending Issue Details link-

Select the name of the Department from the drop down list  and click the Show button.

Click the Print option to generate printout of the Pending issues.

 

3.2.2.1.1.5        Civil Construction Project/Work Details

To generate a detailed report of the civil construction projects and their work details wrt the department, click the Civil Construction Project/Work Details link-

3.2.2.1.1.6         Land Project Details

For generating the detailed report of the land projects at different locations, click the Land Project Details link to view the following data-

The name of the project along with its type and figures of land filling along with total land sanctioned and total land allotted.

3.2.2.1.1.7        MSME Project Details

For generating the detailed report of the MSME project details of various locations, click the MSME Project Details link in the View Reports screen to display the following data-

By default, the IE/IA option is selected which gives details of the projects carried out at different locations with the total area occupied along with the area allotted and total area available.

Click the Export to Excel option to export the whole data into the excel sheet.

To generate the unit details for various projects, choose the radio button for Unit Details wherein the following screen is displayed-

The unit name for different projects are displayed along with the Area (in acre), plot no, letter no. allotted, purpose, possession date, etc.

Click the Export to Excel option to export whole of the displayed data to an excel sheet.

3.2.2.1.1.8        MSME Unit Status

For generating the unit status of the MSME projects, click the MSME Unit Status link in the Reports screen-

The details of the progress of the projects are displayed located at different locations with the total allotted area.

To generate the printout of the project progress with over budget, choose the Print option.

3.2.2.1.1.9         MSME Query Builder

For generating the details for the MSME Query Builder projects, click the MSME Query Result Details link in the View Reports screen-

The user has to add attribute as per his/her wish and based on the user’s attributes result will be generated.

User can also view the Group By  result along with the attributes by selecting from group by dropdownlist.

Click the Print option to generate printout of the same

3.2.2.1.1.10     FDP Project Details

For generating the details for the FDP projects, click the FDP Project Details link in the View Reports screen-

The names of the projects are displayed along with the total forest land acquired, status of the proposal, submission status, etc. are displayed.

Accordingly choose the radio button for Stage-I and Stage-II to view the project details for the same at different locations.

Click the Print option to generate printout of the same.

3.2.2.1.1.11     Work Progress Report

To generate the status of the work progress carried out at different locations; click the Work Progress Report link in the View reports screen-

The name of the projects along with the project cost, date of commencement, fund received, etc. are displayed.

Click the Print option for generating printout of the work details.

3.2.2.1.1.12     Client Works

To generate the details of the work done by various clients w.r.t various projects, click the Client Works-

The screen displays the list of Work names taken up by various clients along with their client code, agreement amount, commencement date, financial and physical progress, etc.

3.3       MSME User

 

To view for the details of the projects managed by the MSME users, login with the credentials of the MSME user in the login screen to display the following dashboard-

The dashboard displays the details of total land allotted to various industrial estates, total area available for allotment, etc. against each project name.

Click the Print option to generate printout of the dashboard displayed. 

To add for the details of unit allocation to different projects, details of post allotment, click the Menu option followed by the Manage Projects global link in the left menu-

3.3.1  Manage Projects

The Manage Projects can be discussed under the following primary links-

·         MSME Projects

·         Unit Allocation

·         Post Allotment Details

 

3.3.1.1       MSME Projects

 

To add for the details of projects managed under MSME, click the MSME Projects primary link in the left menu-

·         Select the Name of the CGM from the drop down list provided. Here MSME is selected by default.

·         Enter the Project Name in the space provided for the CGM selected.

·         Enter the figure for the Total Land (in Ac.) available for project.

·         Provide the details of Common Utility Area (in Ac.) for the respective project.

·         Enter the figure for the total Dispute/Litigation/Unusable Area (in Ac) out of the total available area.

·         Select the Project Classification and Project Category from the respective drop down list provided.

·         Provide the figure for the Rate Per Acre (in Lakhs) for the total available land.

·         Select the name of the District, Tahasil and Division from the respective list provided.

·         Provide Remarks for the details of the projects added.

·         Click the Submit button to save the project details added.

After adding the project details, click the View button to display the list of projects added-

The project names along with their code are displayed with the land cost for each.

To filter the list, select the name of the Division from the drop down list and click the Show button.

For any modifications in the project details, click the Edit option for the respective code-

 

 

The user is redirected to the Project details edit page wherein enter changes for the respective fields and click the Update button to save the changes made.

 

3.3.1.2       Unit Allocation

 

For each of the MSME projects, an unit is being allotted having specific area available at a desired location. For unit allocation to various projects, click the Unit Allocation primary link in the left menu-

In the Allotment Details section-

·         Select the Project Name from the drop down list which is to be allotted.

·         Enter the current location of the unit in the Name of the Present Unit space provided.

·         Enter the Shed/Plot No. of the unit in the textbox provided.

·         Provide the details of the Area (in acre) allotted for setting up the unit.

·         Enter the Allot Letter No in the space provided.

·         Select the Date of Allotment of the unit for the project from the calendar control.

·         Provide the Moratorium Period (Months) for unit allotment.

·         Enter the Cost of Land/Shed allotted in numeric figures in the space provided.

·         Provide the detailed Purpose of Allotment of the area for setting the unit.

·         Select the Date of Possession of the unit from the calendar control along with selecting the Category of allotment from the drop down list.

·         Enter the Amount Received for setting the unit along with selecting the Date of receipt.

·         Click the Add More option to include an additional record to the list.

In the Utilization Status column-

·         Select the Utilization status of the unit from the drop down list.

·         Provide the Lease Deed No. of the unit in the space provided.

·         Select the lease Date on which it was signed from the calendar control provided.

·         Provide the Mortgage Letter No. allotted selecting the Date for the same.

In the Action Against Default Unit section-

·         Enter the Show Cause Letter No. in the space provided selecting the Date for the same.

·         Provide the Cancellation Letter No. for the unit selecting Date for the same.

·         Provide the EUO Case No. for the respective unit along with the Date.

·         Enter the details of Other Cases (if any).

Provide the detailed Remarks of the unit allotment details.

Click the Submit button to save the data entered.

To view for the list of unit allocation details added, click the View option-

The IE/IA names are displayed along the name of the unit, area allocated, land cost, possession date and utilization status.

For any modifications, click the Edit option for the respective unit name-

The user is redirected to the Unit Allocation edit screen wherein enter changes for the respective fields and click the Update button to save the changes made.

3.3.1.3       Post Allotment Details

 

To add for the details of the projects after allotment of the same to various clients along with enlisting the status of the application, click the Post Allotment Details primary link in the left menu followed by the Add button-

In the Add screen displayed.

·         Select the Project Name from the drop down list which is to be allotted.

·         Mention the Unit Name for the allotment project.

·         Provide the details of the Area available for the project.

·         Select the Application Type from the drop down list applied for the project along with the Apply Date from the calendar control provided.

·         Select the current Status of Application from the list.

·         Enter the Lease Deed No. of the project allotted along with selecting the Date from the calendar control.

·         Click the Submit button to save the details of project post allocation.

After adding the post allotment details, click the View button to display the list of projects allotted-

The unit names of the projects allotted are displayed along with the application type, date and status.

For any modifications, click the Edit option for the respective unit name-

The user is redirected to the Post allotment issues edit page wherein enter changes for the respective fields and click the Update button to save the changes made.

3.3.2  Reports

 

The detailed report of all the activities comprising of project initiation, monitoring, billing, etc. can be summed up under Reports section.

3.4       Environment User

 

To view for the details of the projects managed by the environment users, login with the credentials of the Environment user in the login screen to display the following dashboard-

The dashboard displays the details of the project names along with the name of the district, cost of the Total land Required, Forest Land Required, etc.

Click the Print option to generate printout of the dashboard displayed. 

To add for the details of various projects to, details of post allotment, click the Menu option followed by the Manage Projects global link in the left menu-

 

3.4.1  Manage Projects

The Manage Projects can be discussed under the following primary links-

3.4.1.1       Master

 

The department user has to create the master for various parties who work under the respective department. For doing so, click the Master primary link in the left menu wherein the Add master screen is the default page as shown below-

·         Here the user an upload the pdf file of the document in the space provided. Click the Choose File button to search for the respective file and Upload.

·         Enter the details of the Vendor in the respective textboxes provided including mail id, contact number, location, PAN, etc.

·         Click the Add button to save the record added.

To view the list of records added, click the View button-

The list of parties is displayed with their address, mailing details, license, etc.

To filter the list, enter the Party Name in the space provided and click the Show button.

For any modifications, click the Edit () button for the respective Party Code-

Enter changes for the respective fields and click the Update button to save the changes made.

3.4.1.2       Project Details

 

For enlisting the details of the projects managed by each department, click the Project details primary link under Manage Projects-

3.4.1.2.1            Project Details

On selecting the Project Details primary link, the View project details screen is the default page for the department user as shown below. Select the name of the Department, Division and Project Type from the respective drop down list and click the Show button-

The user can view a list project names along with their code, type, scheme and estimated cost.

3.4.1.2.2            Project Closure

To find the details of the project closure after its successful implementation and completion, click the Project Closure button wherein the View screen is the default page-

To filter the list, select the name of the Department and project from the respective fields and click the Show button.

3.4.1.2.3            Project Transfer

For transferring the projects from one department to another, click the Project Transfer button to view the details of the following projects that are transferred-

Click the Print option to generate the printout of the project names along with department names within which it is transferred.

 

3.4.1.3       MSME Projects

 

To add for the details of projects managed under MSME, click the MSME Projects primary link in the left menu-

·         Select the Name of the CGM from the drop down list provided. Here MSME is selected by default.

·         Enter the Project Name in the space provided for the CGM selected.

To add for the details of the projects carried out in the forest development areas, click the FDP Projects primary link in the left menu followed by the Add button-

·         The name of the Department remains default for the login user.

·         Select the Project Type from the drop down list.

·         Enter the name of the Project for the type selected.

·         The Project Code is auto-generated.

·         Enter the Client Code Name as assigned in the space provided.

·         Choose the name of the District and Division where the project unit is located.

·         Select the Name of Forest Division for the selected division.

·         Provide the figure for the Total Land available (in Ac.) for the respective project.

·         Enter the details of the Total Forest Land (in Ac.) available for the project execution.

·         Provide the Remarks for project execution.

·         Click the Submit button to save the details entered.

To view for the list of FDP projects added, click the View option-

 

 

The page displays the list of project names along with their code, name of the clients, District, Division and total available area.

To modify the record, click the Edit option for the code-

Here the user is redirected to the FDP edit page wherein enter changes for the respective fields and click the Update button to save the changes made.

3.4.1.5       Billing Details

Each project requires some fund for its initiation and functioning. This fund comes from various sources financed by different active organizations. The Billing Details can be discussed under the following two sections- Fund Received and UC Details.

3.4.1.5.1            Fund Received

To note the details of the funds received for various projects including the cheque no. and amount, click the Billing Details primary link in the left menu wherein Fund Received View page is the default screen-

The cheque and letter details for respective projects are displayed along with the uploaded documents.

3.4.1.5.2            UC Details

For adding the UC details for the amount financed for various projects, click the UC Details tab-

The project name along with its code is displayed along with the letter date and amount.

Click the Print option to generate printout of the UC amount details for various projects.

3.4.1.6       Unit Allocation

 

For each of the MSME projects, an unit is being allotted having specific area available at a desired location. For unit allocation to various projects, click the Unit Allocation primary link in the left menu wherein View screen is the default page-

The IE/IA names are displayed along the name of the unit, area allocated, land cost, possession date and utilization status.

3.4.1.7       Post Allotment Details

 

To add for the details of the projects after allotment of the same to various clients along with enlisting the status of the application, click the Post Allotment Details primary link in the left menu wherein the View page is the default screen-

The unit names of the projects allotted are displayed along with the application type, date and status.

3.4.1.8       Clearance Details

 

To add for the project forest clearance details including the total land required, its status, etc. click the Clearance Details primary link in the left menu followed by the Add button-

·         For the list of project names added, the total land required, total forest land available, status, etc. is auto-filled.

·         Enter other requisite details for the available fields along with the Remarks for the same.

·         Click the Submit button to save the data entered.

To display the list of clearance details added for different projects, click the View button-

The forest clearance details added for different projects by the user are displayed along with the status for the same.

To modify any of the records, click the Edit option for the respective project name-

The user is redirected to the Clearance Details edit screen wherein enter changes for the respective fields and click the Update button to save the changes made.

3.4.2  Reports

To get the detailed report of various activities with respect to various projects, click the Reports global link in the left menu.

3.5       Land User

To view for the details of the land allotment for various projects managed by different land users, login with the credentials of the Land user in the login screen to display the following dashboard-

Click the Print option to generate printout of the dashboard displayed. 

To add for the details of various projects to, details of post allotment, click the Menu option followed by the Manage Projects global link in the left menu-

3.5.1.2.1            Project Details

On selecting the Project Details primary link, the View project details screen is the default page for the department user. To add new details for the project, click the Add option-

In the Details section-

·         By default, the Name of CGM is already chosen.

·         Select the Project Type from the drop down list.

·         Enter the Project Code for the project taken up along with the Client Code-Name in the respective textbox provided.

·         Provide the Project Name and Scheme which is to be taken up for processing.

·         Select the Category to which the respective project belongs.

·         Enter the details of the total Land Required (in Acr.) for the project in the textbox provided.

·         Provide the details of IPICOL Assessment (in Acr.) and DIC Assessment (in Acr.) for the respective project in the space provided.

·         Select the Sector where the project is located from the drop down list available.

·         Choose the name of the District where the respective project is to be implemented along with the Tahasil and Division from the list provided.

·         In the Admin Approval section, enter the figure for the Estimated Cost of the project that is approved by the admin along with uploading the Admin Approval Document for the same.

·         In the Revised Detail section, enter the figure for the Revised Estimation Cost of the project after admin approval along with uploading the Revised Document.

·         Enter the Remarks for the project details entered.

·         Click the Submit button to save the project details entered. 

Click the View option to display the list of project details as added by the user-

The user can view a list project names along with their code, type, scheme and estimated cost.

In case of any project related issues, click the Add link for the respective project code to view the following pop-up screen-

The project name and stage is auto-displayed.

Provide the Issue Details in the respective space provided like Issue Subject, Description, Intervention of authority as well as selecting the Expected date of Resolving the Issue.

Click the Submit button to save the Issue details for the respective project.

For any modifications in the project details, click the Edit () option for the respective project name.

Enter changes for the respective fields and click the Update button to save the data modified.

3.5.1.2.2            Project Closure

To find the details of the project closure after its successful implementation and completion, click the Project Closure button followed by the Add tab-

 

·         Select the Name of the CGM from the drop down list for which the project closure details are to be added. By default the CGM name remains default here.

·         Enter the Project/Work Name in the space provided.

·         Select the progress Status of the Project in the drop down list.

·         Select the Ref. Date of the project closure from the calendar control provided.

·         Provide the detailed Remarks of the project closure in the text area.

·         Click the Submit button to save the project closure details.

After adding the project closure details, click the View button to display the list already added-

The list of project names along with the project code, status and completion date is displayed.

To filter the list, select the Department Name from the drop down list and click the Show button.

Click the Print option, to generate a detailed printout of the project closure for different projects.

3.5.1.2.3            Project Transfer

For transferring the projects from one department to another, click the Project Transfer button followed by the Add tab-

 

Select the name of the Department from which the project is to be transferred.

On selecting the name of the department, the list of the projects managed by the dept. is displayed as shown below-

The name of the department along with the project type and name are displayed.

·         Select the checkbox for the respective project name which is to be transferred to a different department.

·         Select the Department name from the drop down list to which the selected projected is to be transferred.

·         Select the Ref. of Transfer from the calendar control.

·         Enter the relevant Remarks for transferring the project.

·         Click the Transfer button to finish the project transferring process.

  After transferring the projects, click the View tab to view the list-

Click the Print option to generate the printout of the project names along with department names within which it is transferred.

3.5.1.3       LA/RR

 

To add and view the details of the total govt., private and forest land acquired for project execution along with the total finance spent for each of them, click the LA/RR primary link in the left menu under Manage Projects which can be discussed under the following 4 sections-

Ø  Govt. Land

Ø  Pvt. Land

Ø  Forest

Ø  Finance

3.5.1.3.1            Govt. Land

To add the details of the government land used in setting up a project for a particular location, click the Govt. Land button followed by the Add option to display the following screen-  

In the above displayed screen, the user can view a list of project names along with their code, Filing of Requisition by IDCO, figure of the land sanctioned and date of sanctioning.

Provide the Lease Amount figure in the space provided for the respective project code.

Enter the Execution of Lease Deed with Collector figure for the respective project in the respective textbox provided.

Select the checkbox for the respective project name whose data needs to be updated and click the Update button.

To filter the list, provide the name of the project in the textbox provided and click the Show button.

After adding the details of govt. land utilized, click the View option to display the whole list-

 

The entire list of projects is displayed with the sanctioned and lease amount, date of sanctioning, etc.

Click the Add option for the respective project names wherein the user can view the following pop-up screen and fill in the data in the respective fields as shown below-

Provide the Issue Subject, its Description, Intervention of authority and select the Expected date of Resolving Issue from the respective calendar control provided.

Click the Submit option to save the issue details added.

To modify the govt. land details as added, click the Edit option for the respective project code-

The user is redirected to the Govt. Land edit page wherein enter changes for the respective field and click the Update button to save the changes made.

3.5.1.3.2            Pvt. Land

To add and view for the details of the private lands assigned for different projects, click the Pvt. Land button followed by the Add option-

To filter the list, enter the name of the project in the textbox provided and click the Show button.

In the above displayed screen, the user can view a list of project names along with their code, the month and year of establishment, Filing of Requisition by IDCO, approving administration, date of submission of the proposal by the collector, etc.

Select the checkbox for the respective project name whose data needs to be updated and click the Update button.

To view for the list of private lands assigned for various projects, click the View option-

The entire list of projects is displayed with the location, figure of filling.

Click the Add option for the respective project names wherein the user can view the following pop-up screen and fill in the data in the respective fields as shown below-

Provide the Issue Subject, its Description, Intervention of authority and select the Expected date of Resolving Issue from the respective calendar control provided.

Click the Submit option to save the issue details added.

To modify the pvt. land details as added, click the Edit option for the respective project code-

The user is redirected to the Pvt. Land edit page wherein enter changes for the respective field and click the Update button to save the changes made.

3.5.1.3.3            Forest

To track the details of the forest land occupied in the establishment of different projects, click the Forest button followed by the Add option-

To filter the list, enter the name of the project in the textbox provided and click the Show button.

In the above displayed screen, the user can view a list of project names along with their code, the month and year of establishment, Filing of Diversion of Proposed Land Area, Proposal from DFO Area, area of stage I clearance along with its date, etc.

Select the checkbox for the respective project name whose data needs to be updated and click the Update button.

To view for the list of forest lands assigned for various projects, click the View option-

The entire list of projects is displayed with the location, figure of filling.

Click the Add option for the respective project names wherein the user can view the following pop-up screen and fill in the data in the respective fields as shown below-

Provide the Issue Subject, its Description, Intervention of authority and select the Expected date of Resolving Issue from the respective calendar control provided.

Click the Submit option to save the issue details added.

To modify the forest land details as added, click the Edit option for the respective project code-

The user is redirected to the Forest Land edit page wherein enter changes for the respective field and click the Update button to save the changes made.

3.5.1.3.4            Finance

To get the details of the amount spent for the establishment of various projects at an available area, click the Finance button followed by the Add option-

To filter the list, enter the name of the project in the textbox provided and click the Show button.

In the above displayed screen, the user can view a list of project names along with their code, the month and year of establishment, Initial Fundrequested by IDCO, Demand by Govt. for Payment, Paymet Received from Client Company, figure for the Payment Mode by IDCO to Govt., Remaining Amount figure, etc.

Select the checkbox for the respective project name whose data needs to be updated and click the Update button.

To view for the list of forest lands assigned for various projects, click the View option-

The entire list of projects is displayed with the location, payment details, etc.

Click the Add option for the respective project names wherein the user can view the following pop-up screen and fill in the data in the respective fields as shown below-

Provide the Issue Subject, its Description, Intervention of authority and select the Expected date of Resolving Issue from the respective calendar control provided.

Click the Submit option to save the issue details added.

To modify the Finance details added, click the Edit option for the respective project code-

The user is redirected to the Finance edit page wherein enter changes for the respective fields and click the Update button to save the changes made.

3.5.1.4       Land Bank Allotment

 

For allotting a piece of land for the requisition sent to the bank for project establishment, click the Land Bank Allotment primary link in the left menu-

3.5.1.4.1            Allotment

To add the land allotment details for a project by the bank, click the Add option under Allotment-

In the Details section,

·         Select the name of the District and Sector from the respective drop down list where the respective project is located.

·         Select the name of the Project from the drop down list for which location was selected.

·         Enter the numeric figure for the total Land required (in ac) for the establishment of the project.

·         Provide the Client Name in the textbox provided for the respective project chosen.

·         Provide the details of the IPICOL Assessment (in ac) for the project.

·         Enter the Project Code generated for the same.

·         Select the name of the Category to which the project belongs along with the Name of the Tahasil and Division.

In the Land Allotment section-

·         Select the Land Type chosen for the project from the drop down list.

·         Provide the details of the Allotment of Land to the Client, Allotment Letter No., etc in the respective textbox provided.

·         Select the date of allotment from the calendar control.

·         Enter the Lease Deed No in the space provided.

·         Select the Date of Lease deed with the client and Date of Handling over Possession to the Client from the respective calendar control provided.

Click the Add More button to add for additional land allotment details for the project.

Click the Submit button to save the land allotment details for the project.

After adding the allotment details of the projects, click the View option to display the project allotment details added-

 

 

 

The list of land allotment details added by the user is displayed along with the project name, location, client name, total required area, total land allotted, etc.

To filter the list, select the sector, category, district, from the respective drop down list and click the Show button.

To look for the client details, click the respective Client Name to display the details in the following pop-up screen-

For any modifications in the land allotment details, click the Edit option for the respective project name-

 

The user is redirected to the Allotment edit page wherein the enter changes for the respective fields.

For removing the record from the list, click the Delete button.

To modify each land type, click the Edit option for the respective land type-

 

 

The already added data for the selected land type gets populated in the respective fields.

Enter new data as per requirement and click the Update button to save the changes made.

3.5.2  Reports

The detailed report of all the activities comprising of project initiation, monitoring, billing, etc. can be summed up under Reports section.

3.6       P&C User

 

To add and view the details of different projects managed by the P&C department, login through the credentials of the department user in the login screen to display the following dashboard-

The Dashboard gives the details of the total no. of projects managed by the respective department along with the figures of the total works, awards received, etc.

To move to the home page for adding record, click the Home option as highlighted above which redirects the user to the following page-

In the home page displayed, the department project details can be discussed under two links- Manage Projects and Reports.

 

3.6.1  Manage Projects

 

The Manage Projects can be discussed under the following primary links-

·         Project Details

·         Award Stage

·         Project Progress

·         Billing Details

3.6.1.1       Project Details

 

For enlisting the details of the projects managed by each department, click the Project details primary link under Manage Projects-

3.6.1.1.1            Project Details

 

On selecting the Project Details primary link, the View project details screen is the default page for the department user. To add new details for the project, click the Add option-

In the Details section-

·         By default, the Name of CGM is already chosen.

·         Choose the radio button either for Project or Work. Here project is selected.

·         Select the Project Type from the drop down list.

·         Enter the name of the Department carrying out the project.

·         Enter the Project Code for the project taken up along with the Client Code-Name in the respective textbox provided.

·         Provide the Project Name and Scheme which is to be taken up for processing.

·         Select the Date of Handing Over of Site for the project from the calendar control provided.

·         Select the name of the District where the respective project is to be implemented along with the Division from the list provided.

·         Enter the Remarks for the project details entered.

·         Provide a Personal Note for the details entered.

·         Click the Submit button to save the project details entered. 

Click the View option to display the list of project details as added by the user-

The user can view a list project names along with their code, type, scheme and estimated cost.

For any modifications in the project details, click the Edit () option for the respective project name.

Enter changes for the respective fields and click the Update button to save the data modified.

3.6.1.1.2            Project Closure

To find the details of the project closure after its successful implementation and completion, click the Project Closure button followed by the Add tab-

 

·         Select the Name of the CGM from the drop down list for which the project closure details are to be added. By default the CGM name remains default here.

·         Enter the Project/Work Name in the space provided.

·         Select the progress Status of the Project in the drop down list.

·         Select the Ref. Date of the project closure from the calendar control provided.

·         Provide the detailed Remarks of the project closure in the text area.

·         Click the Submit button to save the project closure details.

After adding the project closure details, click the View button to display the list already added-

The list of project names along with the project code, status and completion date is displayed.

To filter the list, select the Department Name from the drop down list and click the Show button.

Click the Print option, to generate a detailed printout of the project closure for different projects.

3.6.1.1.3            Project Transfer

For transferring the projects from one department to another, click the Project Transfer button followed by the Add tab-

Select the name of the Department from which the project is to be transferred.

On selecting the name of the department, the list of the projects managed by the dept. is displayed as shown below-

The name of the department along with the project type and name are displayed.

·         Select the checkbox for the respective project name which is to be transferred to a different department.

·         Select the Department name from the drop down list to which the selected projected is to be transferred.

·         Select the Ref. of Transfer from the calendar control.

·         Enter the relevant Remarks for transferring the project.

·         Click the Transfer button to finish the project transferring process.

  After transferring the projects, click the View tab to view the list-

Click the Print option to generate the printout of the project names along with department names within which it is transferred.

3.6.1.2       Award Stage

 

The various stages of project starting from project initiation to implementation are considered to be the various award stages. These award stages can be discussed under- Tender, Selection, Award and Revised Estimate.

3.6.1.2.1            Tender

To add for the details of tender for various projects, including the last date of availability of tender paper, uploading the tender in the website, etc. click the Tender button in the Award Stage screen followed by the Add tab-

The list of Work code along with their work name is displayed.

·         Select the TCN Status for the work code from the drop down list.

·         Provide the Ref. of TCN no. for the respective work code selecting the same from the calendar control provided.

·         Select the Last date of availability of Tender Paper from the calendar control along with the Last Date of uploading Tender.

·         Provide the Remarks for uploading tender in the website.

·         Select the checkbox against the respective work order code which is to be uploaded and click the Submit button.

To view the list and details of the work order submitted, click the View tab-

The work order details are displayed along with the date of tender submission for each.

To filter the list, select the Department Name and Division from the respective drop down list and click the Show button.

To modify any of the tender details, click the Edit () option for the respective work order-

The user is redirected to the add tender edit screen.

Enter changes in the respective fields and click the Update button to save the changes made.

3.6.1.2.2            Selection

To add for the details of work order qualification and the status of evaluation, click the Selection button followed by the Add tab to display the following work name list-

On doing so, the page displays the list of work names along with their work code.

To search for a project details, enter the name of the respective project and click the Show button.

Enter the No. of firms pre-qualified for a work name in the space provided.

Select the Status of Evaluation for the work code from the drop down list provided.

Click the Add button to add for any issues in the work name. 

·         Select the Status along with other details like EOI Published, RFP/NIT Issued, Evaluation, etc. from the respective fields provided.

·         Click the Add option to upload the details of the issues if any related to the respective project.

·         Enter Remarks for selecting the data for selection.

·         Select the checkbox for the project names whose details are to be submitted and click the Submit button.

Now click the View option to display for the data selected for the projects-

The list of work names is displayed along with their code, evaluation status and no. of firms pre-qualified.

To filter the list, select the name of the Department and Division from the respective drop down lists providing the Project name in the space provided and click the Show button.

Click the Print option to generate printout of the selection list.

For any modifications, click the Edit () option for the respective work code-

The user is redirected to the selection edit page. Enter changes for the respective fields and click the Update button to save the changes made. 

3.6.1.2.3            Award

To add the details of the stage where the project is at the present time, click the Award tab followed by the Add button-

·         The details of the work code along with the Execute name and agreement are displayed.

·         Select the Date of Completion from the calendar control provided.

·         Select the Status of the award from the drop down list.

·         Select other details of the stage from the respective fields and enter the Remarks for the data selected.

·         Select the checkbox for the record which needs to be added.

·         Click the Submit button to save the award stage details.

Click the View option to display the list of project names with their award stage details-

The screen displays the list of project names along with their status, agreement amount, completion date, etc.

For any modifications in the stage details, click the Edit option for the respective project name which redirects the user to the award stage edit page wherein the necessary changes can be made in the respective fields and Update the same.

3.6.1.2.4            Revised Estimate

To revise the estimated cost of different work orders and set the status for each, click the Revised Estimate tab in the Award Stage screen followed by the Add button-

·         To filter the work order list, enter the name of the project in the space provided and click the Show button.

·         Select the Status of EOT in what stage it is from the drop down list provided and also the Ref. of EOT from the calendar control.

·         Select the date from the calendar control upto which the EOT is valid from the EOT Up To calendar control.

·         Select the Status of the Revised Estimate of the work order from the drop down list.

·         To upload a relevant copy of the document supporting the revised cost, click the Choose File button.

·         Select the checkbox for the work order number which has to be submitted after revision and click the Submit button.

Click the View option to display the list of the work orders revised-

 

The list of work orders is displayed along with the status and figure of the estimated cost.

To filter the list, select the name of the department and project in the respective fields and click the Show button.

Click the Print option to generate printout of the revised estimated cost.

For any modifications, click the Edit option for the respective work order-

The user is redirected to the Revised Estimate edit page wherein enter changes for the respective fields and click the Update button to save the changes made.

3.6.1.3       Project Progress

 

The working progress of the projects needs to be tracked at each stage in order to mark the development of the project and estimate whether the same can be completed within the planned time period.

The project progress can be discussed under the following section- Financial Progress.

 

3.6.1.3.1            Financial Progress

To get the details of the financial progress of the projects, i.e. the total annual expenditure against the total estimated budget, click the Financial Progress tab followed by the Add button-

The project list is displayed for the current financial year.

To filter the list, select the Year, Month entering the project name in the respective space provided and click the Show button.

Click the Choose File option to search for the relevant document from the system and Upload the same.

Enter the figure for the Annual Budget/Target for the current financial year for the respective project name.

The Expenditure details upto previous financial year is auto generated along with the expenditure upto last month of current financial year.

Provide details of the Expenditure during the current month in the textbox provided for the respective project.

The Cumulative expenditure in current financial year is calculated automatically.

Enter details of the Physical Progress Status and Remarks for the same in the respective text areas provided.

Click the Add link to include the details of the issues if any faced during the launch of the project-

In the issues pop-up screen displayed,

·         Enter the details of the Issue Subject in the textbox provided for the respective project.

·         Provide the detailed Description of the issue.

·         Text the details of Intervention of the authority if any.

·         Select the Expected date of Resolving Issue from the calendar control.

·         Click the Submit button to save the issue details as entered.

Select the checkbox for the respective project name whose financial progress details are to be submitted and click the Save button.

To display and view the financial progress details for the year, click the View tab-

The above displayed page gives the details of the estimated as well as expenditure for the current as well as for the coming year for different projects managed by the department.

For any modifications in the planned and expenditure figure, click the Edit () option for the respective project name wherein enter changes for the respective fields and click the Update button to save the changes made for the project.

3.6.1.4       Billing Details

 

Each project requires some fund for its initiation and functioning. This fund comes from various sources financed by different active organizations. The Billing Details can be discussed under the following two sections- Fund Received and UC Details.

3.6.1.4.1            Fund Received

To note the details of the funds received for various projects including the cheque no. and amount, click the Billing Details primary link in the left menu followed by the Add option in the Fund Received screen-

·         Enter the name of the Work in the textbox provided for which fund is to be received.

·         Enter the Letter No. wherein the billing figure is mentioned along with that of the Letter Date.

·         Enter the Cheque No. for the billed amount selecting the Cheque Date.

·         Provide the MR No. of the cheque selecting the MR Date.

·         Provide the Cheque Amount billed for the project.

·         Click the Choose File option to select and Upload Document.

·         Enter Remarks for the billing amount for the respective project.

·         Click the Submit button to save the billing details.

To view the details of the billing amount for various projects, click the View option-

The cheque and letter details for respective projects are displayed along with the uploaded documents.

For any modifications in the fund details for the projects, click the Edit () option for the respective record-

The user is redirected to the fund received edit page wherein the necessary changes can be entered in the respective fields and click the Update button to save the changes made.

3.6.1.4.2            UC Details

For adding the UC details for the amount financed for various projects, click the UC Details tab followed by the Add option-

·         Enter the Work Name for which UC details are to be added in the textbox provided.

·         Enter the Letter No. wherein the details of the UC are mentioned along with selecting that of the Letter Date.

·         Provide the UC Amount billed for the project.

·         Click the Choose File option to select and Upload Document.

·         Enter Remarks for the billing amount for the respective project.

·         Click the Submit button to save the UC details.

Click the View option to display and view the list of UC details for various projects followed by selecting the Project Name from the drop down list and click the Show button-

For any modifications in the UC details for the projects, click the Edit () option for the respective record-

 

Enter changes for the respective fields and click the Update button to save the changes made.

3.6.2  Reports

3.7       Civil User-II

·         Enter the details of the Vendor in the respective textboxes provided including mail id, contact number, location, PAN, etc.

·         Click the Add button to save the record added.

To view the list of records added, click the View button-

The list of parties is displayed with their address, mailing details, license, etc.

To filter the list, enter the Party Name in the space provided and click the Show button.

For any modifications, click the Edit () button for the respective Party Code-

Enter changes for the respective fields and click the Update button to save the changes made.

 

3.7.1.2       Project Details
